Vehicle Fleet Manager

SUMMARY

The Vehicle Fleet Manager oversees all aspects of spending associated with fleet contracts across the country. Collaborating with external leasing firms, they strategically choose partners to streamline facility contracts, handle vehicle acquisition, manage upfitting, oversee vehicle maintenance, monitor fuel consumption, and more. Their goal is to optimize fleet value while minimizing risk throughout the lifecycle of our vehicles.

In this position, the chosen candidate will closely collaborate with internal stakeholders including Operations, Finance, HR, and IT, as well as external suppliers. The primary objective is to enhance processes, develop robust sourcing strategies, and achieve cost savings effectively. Additionally, the role involves working with company management to anticipate future needs and adapt workspaces accordingly in a timely and efficient manner. Strategic agility and analytical prowess are essential for maximizing procurement effectiveness within designated categories and enhancing overall value.

DUTIES AND RESPONSIBILITIES

  • Vehicle replacement planning including the acquisition and disposal. Monitor vehicle build
    timelines with various up fitters, decal and GPS installations etc. Work with fleet vendors to
    maintain asset inventory data, cost reporting and compliance management. Track & collect
    driver forms and documents from new hires to ensure that they adhere to company policies.
  • Monitor Fleet Management software, Provincial Carrier Profiles, License plate renewals,
    invoices for tolls and infractions.
  • Monitor vehicle utilization using available reporting for GPS, mileage, fuel, and maintenance
    records as required.
  • Ability to escalate to resolve potential service disruption.
  • Handle Insurance and registration for the vehicles to make sure they are road ready.
  • Ensure full compliance and adherence to all regulations and safety standards when dispatching
    and communicate, to ensure that safety is top priority.
  • Build + maintain positive rapport with professional drivers as a contribution to driver retention
  • Develop Implement and maintain systematic, management policies and procedures, analytical
    and results-based methods for savings, monitoring supplier’s performance, and sourcing
    effectiveness; communicate these results to appropriate stakeholders as needed, for increased
    effectiveness.
  • Develop and implement risk management strategies alongside our Health & Safety team.
  • Manage accident claims and repairs along with temporary rental needs.
  • Maintain driver profiles in GPS system and monitor driving behavior exceptions for coaching
    and training opportunities
  • Monitor ELD errors and escalate to branch managers for review as needed and ensure annual
    inspections are up to date for heavy rated vehicles. Collaborate with other departments to
    optimize fleet utilization.
  • Maintain operational excellence using professional communication internally and externally
  • Other relevant duties as assigned

EXPERIENCE:

  • In-depth knowledge of the transportation industry
  • In-depth knowledge of transportation safety laws, guidelines, and regulations
  • Awareness of Highway Traffic Act including Hours of Service, TDG, weight restrictions, etc.
  • Experience dealing with GPS monitoring software’s.
  • Strong knowledge of fleet management principles and best practices
  • Proficiency in using fleet management software systems.

EDUCATION/ TRAINING:

  • Bachelor’s degree in supply chain management
  • Minimum of 2 years’ experience in a fleet management role

Particular Conditions:

Travel to branches and vendors as needed
